1. Who we are
Greenlightvisa provides travel-authorisation application preparation and processing services. For questions about this notice or your information, email support@greenlightvisa.com.
2. Information we collect
Depending on the application, we may collect:
- your name, date of birth, nationality and contact details;
- passport details and, where required, encrypted passport-page and unaltered face images used for identity and biometric checks by the destination authority;
- travel dates, destination, purpose of travel and application answers;
- health, criminal-history or previous immigration information where the relevant authority requires it;
- payment status, transaction references and billing information provided by our payment provider; and
- technical and security information such as device, session and fraud-prevention signals.
3. How we use your information
We use personal information to provide the service you request, check applications for completeness and consistency, take payment, prevent fraud, communicate status updates, meet legal obligations and protect our service.
Our main lawful bases are expected to be performance of our contract with you, compliance with legal obligations and our legitimate interests in operating a secure service. Where information requires an additional legal condition, including certain health, biometric or criminal-offence data, we will apply the condition required by law before processing it.
4. AI-assisted checks
Greenlightvisa may use automated tools to identify missing or inconsistent answers, prepare customer updates and route an application through the appropriate processing path. We minimise the information sent for automated assessment and exclude names, contact details, addresses and passport numbers where they are not required. These tools do not decide whether a travel authorisation is granted and do not make legal or immigration decisions. The relevant destination authority makes the final decision.
5. Who receives your information
Where necessary to provide the service, we may share information with the relevant government authority, an authorised representative or approved submission partner, Stripe or another payment provider, and contracted technology, communications, fraud-prevention and security suppliers. We require service providers to use information only for agreed purposes and to protect it appropriately.
6. International transfers
Travel-authorisation processing usually requires information to be sent to the destination country. Some service providers may also process information outside the United Kingdom. Where UK data-protection law requires it, we use an approved transfer mechanism and assess the protections in place.
7. How long we keep information
We keep identifiable information only for as long as it is needed for the service, security, dispute handling and legal or accounting requirements. An unpaid application draft created at checkout expires after 24 hours. Identity images are encrypted separately and removed from Greenlightvisa storage after a successful handoff to the confirmed submission route. Retention periods for completed cases, support messages, security records and financial records are set according to their purpose and reviewed regularly. We delete or anonymise information when there is no longer a justified need to keep it.
8. How we protect information
We use measures designed to protect personal information, including encryption in transit and at rest, access controls, data minimisation, security logging and restricted access to sensitive information. No online service can guarantee absolute security, but we review and improve these controls as the service develops.
9. Your rights
Depending on the circumstances, you may have the right to ask for access to your information, correction, deletion, restriction, portability or to object to certain processing. You may also withdraw consent where consent is the basis used. To make a request, email support@greenlightvisa.com. We may need to verify your identity before acting on a request.
10. Complaints and changes
Please contact us first if you have a privacy concern so we can try to resolve it. You also have the right to complain to the UK Information Commissioner's Office. We may update this notice when our service, suppliers or legal obligations change; the date at the top shows the latest version.
